Owner Experience Manager shall be the first contact for all Owner-related matters and shall work closely with other internal departments to ensure that properties are well-kept and Owner enquiries are tended to in a timely manner.

 

Job descriptions

 

Owner Relationship

  • Develop close working relationships with all Property Owners, including Letting and Private Owners
  • Ensure Owner Records are up to date, including contact, banking details, and other key information

Owner Accounting

  • Strong understanding of the monthly Owner Statements and assist with any enquiries regarding the Statements
  • Oversee Owner Account Balance and top-up requests when necessary
  • Assist Owner Property Accountants in the preparation of annual tax filings
  • Review and ensure all Letting Agreements are up to date and all greed terms are met

Owner Experience

  • Manage Owner Bookings and Guest Services requirements
  • Meet and greet Owners during Owner Stays
  • Manage Owner-related social media platforms and channels
  • Prepare and distribute biannual Marketing & Reservations reports and seasonal newsletters

Property Management

  • Oversee Maintenance issues in conjunction with Maintenance department
  • Request approval for maintenance or other expenditures over permitted limit

Others

  • Review and update SOP for smooth operations
  • Liaise with internal departments, including Reservations, Operations, Maintenance, Real Estate, and Development to work in the best interest of the Owners

Requirements

  • Excellent interpersonal and relationship building skills that will enable the building of a deep and trusted relationship
  • Superb accuracy and attention to detail
  • Ability to respond quickly and be flexible, strategically reactive to meet deadlines
  • Effective time management and organisational skills are required
  • Positive attitude – teamwork orientation and overwhelming desire to attend request
  • Intermediate skills in Excel
  • Proficiency on MS Office Suite products and Property Management Systems
  • Demonstrated ability to serve as a knowledgeable resource to visitors to the area
  • Ability to independently, logically identify, research and resolve issues
  • Capability to efficiently complete tasks in a fast-paced environment
  • Demonstrate a high level of professionalism and confidentiality
  • Ability to multi-task and work on several projects at once
  • Ability to communicate effectively in English and Japanese, with associates, management, owners and suppliers, both verbally and in writing, and must have excellent writing skills
  • Ability to communicate in Mandarin or Cantonese is highly preferred
  • Having knowledge / experience in management association is a super plus
  • Having knowledge / experience in facilities of a property is a plus
